This involves establishing and operating the management system throughout the project's duration. Additionally, by utilizing control reports and regular management meetings.

WP Description

Activities and division of work

This Work Package (WP) outlines the specific activities to be undertaken, the allocation of tasks, and the roles and responsibilities of the team members involved in the project. The objective of the WP is to ensure that all components are efficiently managed and executed in alignment with the overall project goals.

Setting up the Project Governance and Management System

Establishing the project governance bodies, which include the Management Board of Partners (MBP) and the Project Steering Committee (PSC), and appointing the Project Manager (PM).

Operative and Financial Management of The Project

The day-to-day management activities for the project involve coordinating between partners, monitoring, and ensuring adherence to deadlines for activities, reports, and other related tasks.

Preparation of The Project Management Manual and Risk Mitigation Plan

The project management manual will serve as a reference document for project teams and stakeholders, offering a consistent framework for planning, executing, monitoring, and controlling project tasks.

The risk mitigation plan will identify potential risks and outline procedures/actions for their mitigation to prevent inadequate outcomes or deficiencies.

Preparation and Implementation of The Project Kick-off Meeting

planning and execution of the project kick-off meeting. In this meeting, the project management manual along with the risk mitigation, quality, and the dissemination plans will be discussed and approved.

The project participants will approve the governance system of the project and the implementation timeline. The kick-off meeting will be organized in Jordan and will be hosted at JUST.

Preparation and Implementation of The Project Management Meetings

Periodical meetings will be organized in order to foster collaboration between partners, review reports and follow up the project progress and resolve any challenges or obstacles. Four management meetings will be organized over the project period.

Eight months will separate between each meeting.

However, short unplanned meetings will take place whenever it is needed during the project implementation.

Two project management meetings will be conducted in the EU partner institutions. Other management meetings (when needed) will be conducted online.

The meeting will review closing reports for management, quality, dissemination work packages, and final reports from partnering universities in Palestine and Jordan.

It will also involve discussing project achievements, lessons learned ,and reviewing the project's final documents. Project closing meeting to be conducted in Palestine.

Project Governance and Management Agreement Is Prepared and Signed by All Partners

Completing and signing the project governance and management agreement means that roles, responsibilities, and communication protocols among project partners are all identified and agreed.

All related management plans and documents including monitoring, dissemination, and risk management plans are ready, shared and approved.

The completion and approval of these documents are foundational to effective project governance, risk management, communication, and overall success. They contribute to a well-structured and organized project environment, fostering collaboration and ensuring that the project stays on track towards achieving its objectives..

Kick-off meeting, periodical management meetings and the closing meeting are conducted as scheduled with clear agendas and reports.

Successful planning and execution of the project kick-off meeting in addition to all other management meetings will ensure active participation of all project partners, clarification of project goals, and alignment of expectations for effective collaboration throughout the project duration.

The BASE project project aims to elevate higher education in Palestine and Jordan by implementing the Bologna Process in one program chosen from the multiple programs in the colleges of science at each partner university in Palestine and Jordan. The project will utilise Bologna’s standards and philosophy to develop these selected programs by creating curricula and establishing the context and environment supporting this development at each HEIs.
